POSITION: The Presidential Aide directs, coordinates, and/or performs highly sensitive and confidential administrative, executive secretary, and project management support work for the university president. With a high degree of autonomy, the incumbent coordinates meetings, projects, activities, inquiries and replies for the presidents office.
The Presidential Aide organizes, coordinates and directs the activities of the presidents office; receives visitors, telephone calls, and correspondence directed to the president and makes appropriate referrals; communicates on behalf of and/or serves as a liaison for the president with high-ranking university officials, community leaders and the public; gathers background information or researches key policy/program matters for use by the president; keeps informed of applicable policies, procedures and regulations which affect the presidents office; evaluates priorities and disseminates information from the president to others; initiates and composes correspondence individually and on behalf of the president; ensures that all correspondence conforms to applicable campus or CSU policy and that the grammatical and typographical construction and format are correct. The incumbent also may be assigned responsibility for maintaining the presidents schedule and/or monitoring the budget for the presidents office. Incumbent must be aware of the Presidents priorities at all times and have an in-depth knowledge of the functions of the presidents office as related to the overall campus environment.
QUALIFICATIONS: Requirements include five years of progressively responsible work experience as a secretary, executive secretary, or staff assistant which has demonstrated the knowledge and abilities listed below; or a combination of education and experience which demonstrates that the applicant has acquired the knowledge and abilities listed below. This position requires thorough knowledge of modern equipment, office practices and procedures and business arithmetic, grammar, spelling, and punctuation and thorough knowledge of principles and techniques of organization, administration and management as well as organizational structure, functions and activities of higher education.
Must have the ability to manage multiple assignments; prioritize and set deadlines, complete projects on schedule; identify appropriate applications of a wide variety of complex written policies and procedures; apply a high degree of judgment, discretion and initiative in coordinating activities associated with the presidents office such as meetings, projects, executive personnel searches; reply to inquiries; gather information, conduct research, and prepare reports, letters, and policy statements; handle highly confidential and sensitive matters; communicate with the president appropriately; use tact and good judgment in responding to requests for information and/or interpretation of policies or procedures; establish and maintain effective working relationships with high ranking campus administrators, community leaders, and the public; manage the presidents appointment calendar; maintain the budget; coordinate and evaluate the work of clerical and/or secretarial personnel assigned to the presidents office; read and write at a level appropriate to the duties of position; work effectively and establish and maintain cooperative working relationships with a diverse population of faculty, staff, and others; adjust to change (e.g., work environment, technology); function cooperatively and productively as a member of a unit; and demonstrate ability to perform assigned duties. Must be able to keyboard at a corrected rate of 45 wpm is required. A current, valid typing certificate (less than one year old) must be submitted with the application. SPECIAL REQUIREMENTS: This position requires a successful fingerprint clearance.
