The University of California, Merced is the newest and tenth campus of the University of California system and the first American research university built in the 21st century. The Assistant to the Assistant Vice Chancellor for Human Resources provides technical, administrative and clerical support to the Assistant Vice Chancellor for Human Resources and as time allows, to the Human Resources Unit in general. Researches and compiles information, develops and maintains spreadsheets, maintains department metrics, prepares reports, orders department materials, maintains databases and maintains calendar for AVC. The incumbent in this position interacts with staff at all levels at the UC Merced campus, other UC campuses and the Office of the President. Serves as the Conflict of Interest Coordinator for UC Merced.

The Assistant compiles and arrays spreadsheets using subject-matter knowledge of the material to ensure data results are consistent with the nature of the data. May analyze trends. Applies somewhat complex Excel formulas, pivot tables, and similar functions when necessary.

Responsible for preparation and submission of purchasing requisitions, travel and entertainment reimbursements and office supplies into the Cat Buy system for the unit. Records and tracks all initiated orders from initial order through payment of invoice. Provides follow up with vendors when necessary.

Qualifications:   • High school diploma or equivalent experience
• Thorough knowledge in administrative procedures and processes including word processing, spreadsheet and database applications.
• Requires excellent verbal and written communication skills, active listening, critical thinking, multi-task and time management skills.
• Requires interpersonal and work leadership skills to provide guidance to other nonexempt personnel.
• Skill in managing sensitive and confidential information regarding bargaining unit issues.
• High proficiency with Microsoft products to include Excel, Word, PowerPoint and SharePoint
• Demonstrated administrative skills to include the ability to organize and prioritize tasks with strong use of initiative, sound judgment, independent thought, and precise attention with high level of professionalism.
• HR experience highly desirable.
