Description:  

The University of California, Merced is the newest and tenth campus of the University of California system and the first American research university built in the 21st century. With close to 6,200 students, UC Merced has planned for additional student growth until we reach an enrollment of approximately 25,000 students. With undergraduate, graduate, and PhD programs, plans for a future medical school program, partnerships and community involvement, the UC Merced campus is continually evolving, requiring talented, knowledgeable and dynamic educators, researchers, management and staff.

The Administrative Officer 2 works under the general supervision of the Director and the Administrative Supervisor (MSO) of the Center for Educational Partnerships. The Administrative Officer 2 will be responsible for complex administrative and financial support to the Center for Educational Partnerships. This includes analytical support to the Director and the MSO in the provision of budgetary information and financial reports, monitoring of unit’s account activity and financial ledgers and troubleshooting of complex purchasing scenarios. The Administrative Officer 2 will serve as a resource to the administrative officers within the Center for Educational Partnerships and will help coordinate their training and access to financial systems. Other areas of responsibility include interfacing with Human Resources, Payroll and department hiring managers in the recruitment process. The ability to work within the proper channels and ensure adherence to policies and procedures is essential.

Due to the broad scope of this position and the units supported, specialized knowledge and understanding of all aspects of conducting business within the university environment will be required – purchasing, accounting, contracts, payroll, human resources, facilities, equipment and information technology. The Administrative Specialist 2 will serve as a back-up resource to the Administrative Supervisor for the Center for Educational Partnerships and should be able to successfully maneuver through the proper channels and procedures.

Qualifications:   • Bachelor’s degree preferred or an equivalent combination of education and experience.

• Knowledge of accounting principles and practices, including hands-on experience with an automated accounting system and knowledge of UC Policies and Procedures preferred or experience in a university, K-12, or community college setting.

• Ability to apply complex policies and procedures to numerous circumstances.

• Excellent oral and written communication skills required.

• Maintains complete discretion, confidentiality, sensitivity, diplomacy and professional judgment.

• Must possess excellent customer service skills and be able to interact effectively with staff, faculty, administrators and the public.

• Demonstrated experience and knowledge of standard office practices.

• Excellent organizational skills, ability to prioritize work, and complete assignments independently as well as work in a team environment.

• Demonstrated knowledge of Windows based computer programs, specifically MS Word, Excel and Outlook. PowerPoint knowledge and experience preferred.

• Demonstrated knowledge of web-based applications and ability to conduct searches on the Internet.

• Ability to work in a fast-paced work environment and support multiple functions with fluctuating priorities.
