The Student Affairs Division at UC Merced is committed to providing a student-centered atmosphere. The organizational structure of the division is designed to provide students with quality customer service by cross-training staff and encouraging collaboration between departments. The Administrative Assistant oversees departmental purchasing and accounting operations for the Office of the Registrar and for the Student Affairs Division in general. The AA is also responsible for supporting a complex document intake system by adequately managing e-mail and regular mail systems and digital imaging processes. Under the direction of the University Registrar, the Administrative Assistant provides executive and administrative support to the University Registrar, Associate and Assistant Registrars, and other Office of the Registrar staff. This position is also part of a core team in Student Affairs and will also be expected to assist other units as needed. Essential duties include heavy purchasing, complex travel and entertainment reimbursements, financial reporting, accounts payable, financial ledger reconciliation, meeting and travel arrangements, oral and written correspondence and research, maintenance of executive calendars, and preparation of materials for internal and external constituencies, reception duties for the department, maintenance of official and confidential records, and other duties as assigned.

Qualifications:   • Minimum of five years’ experience as an administrative assistant with a strong background in budgets and accounting or a bachelor’s degree in business or related field with substantial analytical skills and one year experience; or another equivalent combination of education and experience.

• Experience in computerized accounting systems, maintaining expenditure records, processing invoices with ability to successfully interact with numerous vendors.

• Knowledge of accounting principles and practices.

• Ability to apply complex policies and procedures to a variety of circumstances.

• Excellent oral and written communication skills required.

• Maintains complete discretion, confidentiality, sensitivity, diplomacy, and professional judgment.

• Must possess excellent customer services skills and be able to interact effectively with students, staff, faculty, administrators, and the public.

• Demonstrated experience and knowledge of standard office practices.

• Must possess excellent organizational skills, be detail oriented, and have ability to prioritize work and complete assignments independently as well as work in a team environment.

• Must have experience in Microsoft Word and Excel.

• Demonstrated knowledge of web-based applications and ability to conduct searches on the Internet.

• Ability to work in a fast-paced work environment with high degree of interruptions and ability to support multiple functions with fluctuating priorities.

Experience with Banner and Cognos; knowledge of FERPA and University of California policies and procedures.
