Under general supervision the Administrative Assistant provides administrative and clerical support within the Human Resources Department. Contact with others is primarily internal and on occasion may interact with staff at all levels from across the University.

Key Responsibilities:

Provides administrative support for the Employee & Labor Relations and HR Client Services Units. Prepares a variety of correspondence and other written materials requiring some specialized knowledge of the subject matter. Edits and proofreads written materials for content consistency. Maintains spreadsheets necessary to track pending items including but not limited to union grievances and associated requests for information. Generates and distributes monthly reports from payroll system.

Tracks and assigns recruitment requests to recruiters per assigned division. Maintains Talent Acquisition Metrics and works with Comp/Class to troubleshoot recruitment requests. Coordinates with UCOP for TA quarterly metrics reporting and reporting as needed. As needed, troubleshoots with applicants and hiring managers and may provide process guidance to hiring managers, ensuring consistency with recruitment procedures.

Maintains campus personnel files and recordkeeping systems, adding new documents and purging material consistent with department and campus guidelines. Daily monitoring of HR and LR email inbox and forwards or responds to messages concerning collective bargaining agreements and/or policy as appropriate. Performs calendaring, room reservations, and prepares meeting documents. Performs limited research and analyzes data on assigned projects.

Qualifications:   • High school diploma and one year of relevant experience required.

• Bachelor's degree in related area preferred.

• Thorough knowledge and experience in administrative procedures and processes including word processing, spreadsheet and database applications.

• Requires verbal and written communication skills, active listening, critical thinking, multi-task and time management skills.

• Skill in managing sensitive and confidential information.
